Time Card Calculator

Type in and out times for a week or two. Breaks, overnight shifts and overtime are counted; totals show in h:mm and decimal hours.

Type 9:00 PM, 9pm or 21:00. An out time earlier than the in time ends the next day.

Big numbers are hours:minutes; the small ones are decimal hours, minutes ÷ 60 rounded to 2 places (8:25 = 505 min = 8.42). Week and card totals are added in minutes first, then converted. Pay comes from the exact minutes, rounded to the cent once.

How to fill in a time card

  1. Pick 1 week or 2 weeks and the day your work week starts. Payroll weeks often start on Sunday or Monday; ask if you are not sure, because overtime is counted per week.
  2. For each day, type the time you started and the time you stopped, as 9:00 AM or 09:00. If you clocked out for lunch, tap + in/out and type the second half of the day as its own pair (up to 4 pairs a day).
  3. If lunch was not punched, type the unpaid break in minutes beside the day, or switch Unpaid breaks to Automatic rule (by default 30 minutes off any day over 6 hours).
  4. Set the overtime limits your job uses (40 hours a week is filled in) and, if you want the money, your hourly rate and 1.5× or 2× for overtime.
  5. Read the day totals beside each day and the week totals and pay under Totals. Copy the summary into a message, download the CSV for a spreadsheet, or print the card.

How the hours are counted

Each pair is out minus in. An out time earlier than the in time means the shift ended the next day, so 22:00 to 06:15 is 2:00 before midnight plus 6:15 after it, 8:15. The hours count on the day the shift started, which is also the week they count in when a night shift runs from Sunday into Monday.

Breaks. The time between two punched pairs is already unpaid, so 08:00–12:00 plus 12:45–17:10 is 4:00 + 4:25 = 8:25. A typed break is taken off the day's total. The automatic rule takes its minutes off only when the day's worked time is more than the limit: with the default, a 6:00 day keeps 6:00, a 6:01 day becomes 5:31.

Rounding (off unless you choose it) moves each in and out to the nearest 5, 6 or 15 minutes, exactly halfway going up. At 15 minutes, 08:07 counts as 08:00 and 08:08 as 08:15: the “7-minute rule”. 6 minutes is a tenth of an hour, which is why some payroll systems use it. In the US, the Department of Labor allows rounding like this only if, over time, it does not shortchange the employee (29 CFR 785.48); the calculator shows the rounded punch beside each one so you can check.

Overtime. Hours past the daily limit are overtime that day. The regular hours are then added up through the week, and the hours past the weekly limit are overtime on the day that crossed it, so no hour is counted as overtime twice. Five 9-hour days with a 40-hour limit: Monday to Thursday are 36 regular hours, and Friday is 4 regular plus 5 overtime. On a 2-week card each week starts again from zero.

Decimal hours are what payroll and spreadsheets use: minutes ÷ 60, shown to 2 places. 7:30 is 7.50 (not 7.30), 8:15 is 8.25, 8:25 is 8.42 (8.4167 rounded). Because every total is added in minutes before it is converted, a week's decimal can be 0.01 off the sum of its rounded days; the minutes are the exact figure.

What it cannot do

  • Overtime and break law differ by country and by state, so the page uses the limits and rate you set. It does not know your local rules and is not legal or payroll advice.
  • One overtime rate at a time. It cannot pay 1.5× after 8 hours and 2× after 12 hours on the same day (California's daily rule), or a different rate for weekends or holidays.
  • It is not a clock-in system. It does not record when you actually arrived; every time is typed by you.
  • Pay is gross: no tax, social security, tips or deductions. No currency symbol is added.
  • Up to 4 in/out pairs a day and 2 weeks per card.

Privacy and what is stored

Your times and rate never leave this device, and the page stores nothing on a server. The card is saved in this browser's local storage as you type, so a reload does not lose it; Clear card deletes it in one tap. The page sends an anonymous page-view count and, at most, two fixed words (timecard-calc, timecard-csv); never a time, a rate or a total.

Questions

How do I calculate hours worked with a lunch break?

Either punch the lunch as its own out and in (8:00 to 12:00, then 12:45 to 17:10 is 4:00 + 4:25 = 8:25), or type one in and out for the day and the unpaid break in minutes (9:00 to 17:30 with a 30 minute break is 8:30 − 0:30 = 8:00). If your employer docks lunch automatically, switch Breaks to Automatic rule: by default 30 minutes come off any day worked for more than 6 hours, and days where you already punched out for at least that long are left alone.

How do I add up a 2-week time card?

Pick 2 weeks and the day your pay week starts. Each week is totalled on its own and overtime is counted per week, because overtime rules such as the US 40-hour rule apply to a workweek, not to a pay period: 45 hours one week and 27 the next is 5 hours of overtime, even though the 72 hours are under 80.

How do I convert hours and minutes to decimal hours?

Divide the minutes by 60 and add them to the hours: 8:25 is 8 + 25/60 = 8.42 hours, and 7:30 is 7.50, not 7.30. 15 minutes is 0.25, 45 minutes is 0.75, 6 minutes is 0.10. The calculator shows every day and week both ways, and the decimal is rounded to 2 places.

How do I work out pay with overtime from a time card?

Type your hourly rate. Regular hours are paid at the rate and overtime hours at the rate times 1.5 (or 2). Five 9-hour days at 20.00 an hour with overtime after 40 hours: 40 h × 20.00 = 800.00 regular, 5 h × 30.00 = 150.00 overtime, 950.00 before tax. Pay is worked out from the exact minutes, not from rounded decimals.

How do I enter an overnight shift?

Type the times as they are on the clock. When the out time is earlier than the in time, the shift is read as ending the next day: 22:00 to 06:15 is 8:15. The hours count on the day the shift started.
